Newsletter Launch Playbook

A newsletter issue is read once, in an inbox, and then mostly forgotten. A web archive and a handful of evergreen articles give the same ideas a second life in search, where new readers can find them and subscribe. This playbook builds that layer around a new newsletter.

Who this is for

Writers, creators and small publishers launching a newsletter who want readers to find it from search, not only from social posts.

Before you start

  • A clear subject for the newsletter and a description of the reader it is written for.
  • A website or archive where issues and articles can be published.
  • A subscribe form that can be placed on every page.
  • A realistic publishing cadence you can sustain.

Step 1

Plan the evergreen layer

Separate the timely ideas in each issue from the ones that will still be true next year.

  1. List the recurring questions your subject raises, the ones readers would search for at any time.
  2. Choose a few cornerstone topics to cover in depth on the website, separate from the issues.
  3. Decide how issues are archived: full text, summaries, or a curated selection.
  4. Plan how each cornerstone article invites the reader to subscribe without interrupting the article.

Step 2

Create cornerstone articles

Write the pieces that explain your subject, then let issues build on them.

  1. Write a cornerstone article for each topic, aimed at somebody new to the subject.
  2. Give archived issues descriptive titles rather than issue numbers alone.
  3. Link issues back to the cornerstone article they extend, so the archive forms a connected whole.
  4. Keep your own voice consistent between the inbox and the website.

Step 3

Publish the archive and the articles

Release the website layer alongside the first issues.

  1. Publish the cornerstone articles before or alongside the first issue.
  2. Add each issue to the archive shortly after it is sent.
  3. Place the subscribe form on every article and archived issue.
  4. Add a new evergreen article whenever a theme keeps returning in the issues.

Step 4

Measure subscriptions from search

Find out which pages bring readers who stay.

  1. Record which page each new subscriber signed up from, if your newsletter tool supports it.
  2. Check which articles appear in search in your search console and for which questions.
  3. Refresh cornerstone articles when the subject changes, and say at the top when they were updated.
  4. Use replies from readers to choose the next evergreen topic.

Common pitfalls

  • An archive of issues titled only by number, which tells neither readers nor search engines what is inside.
  • Cornerstone articles that only tease the newsletter and hold back the useful part.
  • Promising a cadence in the subscribe form that you cannot keep.
  • Letting cornerstone articles go stale while the newsletter moves on.
