Invite your team and manage roles

Invite colleagues by email, choose whether each is an admin or a member, and keep track of the seats your plan includes.

Before you start

  • The owner or admin role in the workspace.

  • A free seat — compare plans on the pricing page.

Steps

  1. Step 1: Open the team page

Go to Settings and open Team. Workspace members lists everyone, with their Role and Date joined.

  2. Step 2: Invite someone

Choose Invite member. In Invite a colleague, enter their Email address, choose a Role and choose Send invitation:

    • Admin — can invite and remove people, and manage the workspace and its plan.
    • Member — can write, generate and publish. Cannot change the team or the plan.

The workspace’s Owner has every admin permission and cannot be removed.

  3. Step 3: Follow up on pending invitations

A pending invitation holds a seat until it is accepted, withdrawn or expires after seven days. Use Resend if the email was missed, or Withdraw to free the seat.

  4. Step 4: Change a role or remove someone

In a member’s row, choose Make admin, Change to member or Remove.

  5. Step 5: Accepting an invitation (for the person invited)

Open Accept invitation in the email. Sign in — or create an account — with the address the invitation was sent to, then accept. Accepting confirms your email address, so no separate verification link is needed.

What you’ll see

Your colleague joins the workspace with the role you chose and can see its projects and articles. Removing someone ends their access to this workspace only.

Troubleshooting

“Every seat on your plan is taken.”

Withdraw a pending invitation, remove a member, or move to a plan with more seats.

“This invitation is for a different address”

The invited person is signed in with another email. They should sign out and sign back in with the invited address.

“This invitation has expired”

Invitations last seven days. Send a new one — it takes one click.

Someone’s access shows as paused

After a downgrade, members beyond the new plan’s seats are paused, not removed. See After a plan downgrade.
